Venom ry’s Cancellation Policy
1. Scope of the Policy
This policy applies to all registered players, parents, and guardians participating in Venom ry’s regular seasonal activities, teams, and training groups. By accepting a place in a team or training group, the player and their guardians commit to the club’s financial and operational terms.
2. The Trial Period (Kokeilujakso)
Duration: New players are entitled to a two-week (14 days) trial, free of charge, starting from their first registered practice.
Opting Out: If the player decides not to continue after the trial, a written cancellation must be submitted before the third week of practice sessions, before the trial period expires.
Failure to Notify: If no written cancellation is received within this trial window, the registration becomes binding, and regular seasonal/monthly invoicing will commence.
3. Notice Period (Irtisanomisaika)
Standard Rule: Following the trial period, cancellation requires one (1) full calendar month of notice.
Billing Cycle: Invoicing ends at the conclusion of the calendar month following the month the cancellation notice was received. Example: If you submit your cancellation form on October 12th, November is your notice month. You will be billed for November, and your contract officially terminates on November 30th.
Right to Train: The player has the full right to attend all team practices and games until the end of their official notice period.
4. Cancellation Procedure
Official Channel: Cancellations must be made exclusively through our online cancellation form or via email to billing@venombasketball.fi.
Invalid Methods: Informing a team coach, team manager (joukkueenjohtaja), or simply stopping attendance does not constitute a valid cancellation and will not stop the billing cycle.
5. Outstanding Invoices and Retroactive Claims
Prior Bills: Any invoices generated or sent prior to the exact date of the written cancellation notice must be paid in full.
Absences: Refunds or invoice reductions are not granted retroactively for missed practices due to travel, school, or minor illnesses.
6. Equipment & Uniform Return Surcharges
Return Window: All club-owned property, including official game jerseys and shorts, must be returned to the Team Manager within fourteen (14) days of the final training session.
Penalty Fee: If the uniform/kit is not returned, or is returned damaged beyond normal wear-and-tear, a flat €80 replacement fee will be invoiced to cover the procurement and printing of new custom gear.
7. Exceptions (Long-term Injury or Medical Issues)
Medical Waiver: In the event of a long-term illness or injury that prevents training for more than four (4) consecutive weeks, the monthly fee may be paused or waived.
Requirement: A valid medical certificate (lääkärintodistus) must be submitted to the club administration to activate this waiver. Adjustments cannot be made retroactively for periods before the medical note was provided.
